Special Events and Development Coordinator- new position

We anticipate conducting interviews the last week of November and first week of December.  This would be a perfect opportunity for a recent college graduate.  


Special Event Responsibilities

  • Coordinate planning, implementation, and follow-up for all special events
  • Manage all aspects of event volunteer committees and event volunteer coordination, including but not limited to staffing, recruitment, supervision, training and acknowledgement.
  • Responsible for the fulfillment of the events budgets
  • Responsible for in-kind donation solicitations for each event
  • Cultivate and expand sponsorship development and fulfillment
  • Provide administrative support for special events including data management, mailings, marketing, and other communication initiatives
  • Manage event logistical details, serving as the point of contact for vendors (i.e. catering, venue, printing), supporters and sponsors, volunteers, tables captains, and attendees
  • Coordinate other seasonal or special events - capitalizing on arising fundraising opportunities, driving community partnership, and overseeing donor and volunteer appreciation/cultivation events


Communication Responsibilities

  • Work with DOD&C to create event communications such as save the dates, invitations, e-blasts, programs, and other marketing materials with professionals, as needed
  • Manage organization’s website content and make necessary updates regularly
  • Maintain and broaden active social networking to presence
  • Maintain photo, video, and print archive
  • Create and maintain a comprehensive press list
  • Contribute to Page Robbins e-news communications, drafting content for supporters and donors
  • Assist in efforts to increase awareness of our organization and all of our activities through effective, creative, and professional communications and public relations

Development/Administrative Responsibilities

  • Record and track event data and constituent information, including budget information, registration lists, and results
  • Monitor and ensure the appropriate follow up occurs with donors, event attendees, and supporters
  • Process donations, generate and track tax-receipts and acknowledgement letters, as needed
  • Assist other staff with general office staffing and office duties, such as receiving visitors, answering phone calls, scheduling appointments and more, as needed
  • Develop and maintain close relationships with various constituencies within the community
  • Be involved with the community at large and appropriate professional organizations
