Position:  Database and Operations Administrator

Department:  Advancement

Reports to:   Director of Advancement  

Scope and/or Purpose:   

The Advancement Department is tasked with raising funds to support The Baddour Center’s mission and accurately marketing the excellence with which that mission is carried out. The Database and Operations Administrator position is the newest position to Advancement Department, and will be responsible for maintaining, managing, reviewing, and reporting on database information. Additionally, the position will assist donor relations efforts by performing cursory donor/prospect research and coordinating donor visits.

Essential Job Duties and Responsibilities:  

  1. Ensure accurate donor activity tracking in database including contact information, call reports, events attendance, moves management stages, and volunteer engagement
  2. Assist with the creation of mailing lists, and with the production and dissemination of appeals, annual reports, newsletters, event invitations, etc.
  3. Provide regular standing reports and ad hoc reports as needed
  4. Review and speak to TBC donor trends
  5. Performs cursory research on donors and prospects, and adds new, relevant information to database
  6. Assists in coordinating donor visits for Director of Advancement and Donor Relations roles

  1. Professionalism and quality of work
  2. Accuracy of reports and database records
  3. Turnaround time for reports
  4. Appropriate level of help in coordinating visits

Essential Knowledge:   

  1. Minimum of Associate’s Degree equivalent additional experience in a related field
  2. Non-profit database best practices
  3. Quality grammar and communication skills 

Essential Experience: 

  1. 1-2 years related experience in related field
  2. Must have experience communicating with a diverse group
  3. Database management experience, Raiser’s Edge preferred 

Essential Mental, Physical and Auditory/Visual Requirements: 

  1. Critical thinking skills
  2. Must be able to work at a computer for the majority of the day
  3. Able to effectively interact and communicate via email and phone
  4. Strength to occasionally lift objects up to 20 pounds
